The Day I Realized I Was the Bottleneck
My team needed approvals, my inbox was flooded, and every hour was a whirlwind of putting out fires. I was the go-to person for everything.
That sounds great, right? Wrong.
One day, my husband (who is my go-to soundboard for life) casually said, "You know, you don’t actually have to do everything yourself, right?"
Cue eye roll—of course, I knew that. I had read every leadership book under the sun. But the truth was, I had unknowingly built my own cage. I had no systems. No processes. No automation. Just me, manually running my life and business like it was 1999.
The Automation Wake-Up Call
We live in a world where businesses thrive on automation—AI, workflows, and streamlined processes keep everything running smoothly.
Yet, most professionals and leaders still operate their personal and work lives manually.
We wake up and decide on the fly what our priorities are. We react to emails instead of strategically managing them. We spend hours making decisions that could have been pre-made with a simple framework.
And then we wonder why we’re exhausted.
Are You Stuck in Leadership Manual Mode?
I started paying attention to the leaders I coach. Guess who struggled the most?
👉 The ones constantly micromanaging their teams.
👉 The ones feeling overwhelmed by decision fatigue.
👉 The ones who said, "I can’t take a break—everything will fall apart."
They weren’t bad at their jobs. They were just stuck operating in manual mode.
Meanwhile, the most effective leaders? They had systems. They had automated decision-making frameworks. They had optimized how they worked and lived.
That’s when I knew: If I wanted to scale my impact and keep my sanity, I had to automate myself.
How I Started Automating My Leadership (And How You Can Too)
Automation isn’t about replacing human connection or creativity. It’s about removing the unnecessary friction so you can focus on what truly matters.
Here are the first things I changed to stop running my life on manual mode:
1. I Created Personal SOPs (Yes, for My Own Life!)
I realized I was making the same decisions every day.
What time should I work out?
What’s for dinner?
Which tasks should I tackle first?
These tiny decisions were adding up, draining my energy before I even got to the important stuff.
🔹 Solution: I created repeatable routines. A structured morning flow. Pre-set meal plans. Non-negotiable deep work blocks. No more deciding on the fly.
🔹 How You Can Apply This: Identify 5 small, daily decisions that you can pre-set instead of making on the spot.
2. I Built a “Leadership FAQ” for My Team
My inbox was a black hole of repeated questions from my team. Instead of answering the same thing over and over, I documented my most common responses.
🔹 Solution: I created a Leadership FAQ document with clear decision-making guidelines. Now, my team could find answers without waiting on me.
🔹 How You Can Apply This: What do people ask you all the time? Write it down. Make a doc. Create a Slack channel. Remove yourself as the bottleneck.
3. I Started Using a Decision-Making Framework
Before, I agonized over every big decision. I was caught in analysis paralysis. So, I borrowed a trick from top CEOs: the 70% Rule.
🔹 Solution: If I had 70% of the information I needed, I made the decision. No waiting for 100% certainty. No stalling. Progress > Perfection.
🔹 How You Can Apply This: Next time you’re stuck, ask yourself: Do I have 70% of what I need? If yes, make the call.
The Future of Leadership is Self-Automation
The most successful leaders aren’t the ones who work the hardest. They’re the ones who optimize, automate, and focus on what truly moves the needle.
Automation isn’t just for tech companies—it’s for YOU. Your career. Your leadership. Your life.
Leadership is not a license to do less. Leadership is a responsibility to do more. - Simon Sinek
FAQs: About Self-Automation for Leaders
No! Automation isn’t just about AI—it’s about streamlining your life and leadership. Personal automation can be as simple as creating routines, templates, and structured workflows to reduce decision fatigue.
The biggest mistake? Trying to automate everything at once. Start with one small area—like setting a structured morning routine or documenting frequently asked questions—and build from there.
Automation isn’t about detachment—it’s about freeing up your mental energy for what matters most. When you automate the repetitive, low-value tasks, you actually have more time to be an engaged and strategic leader.
Some of my favorites:
Notion for project and task management
Calendly for scheduling without the email back-and-forth
Google Docs & Templates for recurring documents
Standard Operating Procedures (SOPs) for delegation
Start small. Pick one area to automate—whether it’s your morning routine, your team’s FAQ doc, or setting up calendar blocks—and build from there. Progress over perfection!
🚀 What’s one system you could implement today to automate yourself? Let’s get started!
